Hello, are you open on Saturday? I would like a dental cleaning.
Hi Maria! Yes, we are open on Saturday morning. Which time would suit you best?
Around 10 if possible
Noted. I passed your request to our front desk, and they will confirm the time with you here.

Most messages a clinic receives are not medical at all: opening hours, the address, parking, which services you offer, whether a certain doctor is in on Thursday. The front desk answers them between patients, and the messages wait. A chatbot for clinics built with Kwamle Media takes these practical questions off the desk and collects booking requests, so your staff only has to confirm them.

It is not a medical system and is not meant to give medical advice. You decide what it may talk about, and anything clinical goes straight to a person on your team.

How it works

  1. Bring the clinic's channels together

Connect your clinic's pages and your WhatsApp Business number with each platform's official login. Messages and comments from all your channels land in one inbox, and a group with several branches can keep them under one login.

  2. Write what the bot may answer

In AI Studio, list the practical facts: opening hours, address, services, what to bring to a first visit and the payment methods you accept. Then write what it must never do: diagnose, suggest medicine, comment on symptoms or results. Add these as rules and forbidden words.

  3. Collect booking requests, not medical details

On Messenger, build a short flow with Ask Question steps: the service, the preferred day and time, the patient's name and a contact number. The answers are stored and sent to your team in the inbox or to a Google Sheet. Your staff checks the schedule and confirms.

  4. Hand clinical questions to staff

In your instructions, tell the AI that any message about pain, medicine or test results gets one answer: a team member will reply here. Your staff sees the conversation in the inbox and takes it over from the bot.

  5. Work from one screen

Your team assigns conversations, adds tags and replies from the unified inbox. AI-suggested replies help with routine answers, and a person reviews each one before it is sent.

Who it is for

Clinics and practices whose front desk spends much of the day answering the same messages.

  • Dental clinics that get daily questions about cleanings, check-ups and opening hours.
  • Dermatology and cosmetic clinics that receive many first-visit enquiries from their posts.
  • Physiotherapy centres with patients asking about sessions and available days.
  • Eye clinics and opticians answering questions about services and visiting hours.
  • Polyclinics with several departments and doctors who each need their own messages.
  • Veterinary clinics where pet owners ask about hours, services and visits.

Questions about a chatbot for clinics

Does the chatbot give medical advice?

It is not meant to. You set it up to answer practical questions only, tell it never to diagnose or suggest treatment, and have it pass every clinical question to your staff. Test it with real messages before you turn it on.

Can patients book an appointment through it?

It collects the booking request and passes it to your team, who confirm the time. It does not manage your calendar. If your clinic uses its own system, the request can be sent there through a webhook or an HTTP request.

Should patients share medical details in the chat?

It is best not to. Ask only for what a booking needs, such as name, contact, service and preferred time, and tell patients that medical details are discussed with the clinic directly. Check the rules on patient information in your country before you build the flow.

What happens when someone writes after hours?

The bot still answers the practical questions and collects the request. Your front desk picks it up from the inbox when the clinic opens.

Can it answer patients in several languages?

Yes. You can tell the AI to reply in the language each patient writes in, which helps clinics that serve visitors and expatriates.

Can messages reach the right doctor's team?

Conversations can be assigned and routed to team members in the unified inbox, and tags help each department find its own requests.
